The Octal HR employee self-service (ESS) portal lets your employees manage their own HR tasks — applying for leave, viewing payslips, checking attendance — without involving HR for every request. This reduces HR workload significantly.

What employees can do

Once they have portal access, employees can:

  • View their profile — personal info, employment details, documents
  • Apply for leave — submit leave requests, view leave balances, check approval status
  • View attendance — their clock-in/out history, monthly attendance summary
  • Download payslips — current and historical payslips as PDF
  • View their shift schedule — assigned shift times and any upcoming rotations
  • Upload documents — CNIC copy, certificates, contracts (subject to HR settings)
  • Update contact info — phone number, address, and emergency contact
Note: Employees cannot view other employees' data, payslips, or salaries — each employee sees only their own information.

Enabling self-service access

Adding an employee record under HR > Employees does not, on its own, give that person a login. HR enables portal access for each employee separately.

Open the employee's Portal tab (or go to HR > Employee Accounts).

Set a login email and password for the employee.

Click Enable Portal Access. The employee can now log in and see their own profile, leave, attendance, and payslips.

Employee access and login

Employees log in at your company's Octal HR portal URL (e.g. yourcompany.octalhr.com). They use:

  • Email: The login email HR set for them
  • Password: The password HR set when enabling their access

If an employee forgets their password, they can click Forgot password on the login page to reset it via email.

Note: Once logged in, employees can update their own contact details and address and those changes save directly to their profile. Employees only ever see their own information.
