Where to access it

Employees use the browser-based self-service portal:

Accessible from any device with a browser. Employees sign in and open the Leave section to see their balances, apply for leave, and review their request history.

Applying for leave

In the portal, go to Leave → Apply.

Select the leave type from your available (active) types.

Select the start date and end date. The number of leave days is calculated from the date range.

Enter a reason for the leave.

Click Submit. The request is created in the Pending state and appears in your leave history.

The request stays Pending until HR or a manager approves or rejects it. No balance is deducted while it is pending.

Cancel a Pending Request

Withdraw a request while it is still pending, before it has been approved or rejected.

Tracking request status

After submitting, employees can see each request and its current status in Leave → History. A request is always in one of these states:

  • Pending — Submitted and awaiting review by HR or a manager
  • Approved — Approved; the days have been deducted from the balance
  • Rejected — Declined by the reviewer, with the rejection reason recorded
  • Cancelled — Withdrawn by the employee (while pending) or cancelled by HR

Cancelling a leave request

Employees can cancel their own request from Leave → History while it is still Pending. Because no balance is deducted until approval, cancelling a pending request simply marks it Cancelled — nothing needs to be restored.

Once a request has been approved, employees can no longer cancel it themselves. If an already-approved leave needs to be undone, HR cancels it from the request page, which restores the deducted days to the balance.
