Departments and designations form the foundation of your organisational structure in Octal HR. Set these up before adding employees so you can assign them on the employee form or in the Excel bulk import.
Creating a department
A department represents a functional division of your company (e.g. HR, Finance, Operations, Sales).

Go to HR > Departments and click Add Department.

Enter the Department Name (e.g. Human Resources) and a unique Department Code. The name must match what you use in imports.

Optionally set a Parent Department to nest it under another department.

Optionally, select a Department Head (an existing employee). This is used for leave approval workflows and org chart display.

Add a short description if needed, then click Save.
Tip: You can rename a department at any time. All employees in that department automatically reflect the new name.
Adding designations
A designation is a job title (e.g. Software Engineer, Senior Accountant, HR Officer). The same designation can be used across departments.

Go to HR > Designations and click Add Designation.

Enter the Designation Name (e.g. Marketing Manager) and a unique Code.

Optionally set a grade and a minimum / maximum salary range, link it to a department, and add a description.

Click Save.
Assigning employees to departments
Department and designation are set at the employee profile level — choose them on the new employee form, or open an existing employee and update the Department and Designation fields on their Employment tab.
